Mandate
The Method

A mandate, a score, a record, and a person who answers for it

One method for every transactional job in finance. Accounts payable is the worked example on this page, because it is where every client starts.

01

The mandate

A signed page that says what the agent may do, what must stop and who is told.

02

The score

A confidence score on every decision. Below your threshold, a person decides.

03

The record

A tamper-evident, append-only audit trail that explains each decision, not only stores it.

04

The named owner

A person at Mandate who answers for the result and measures it every month against your own postings.

One supplier invoice, start to finish

AgentStep 1

Read

The invoice arrives at your AP mailbox and is read in full, line by line.

AgentStep 2

Match

Supplier, history and duplicates are checked against your ledger.

AgentStep 3

Code

Account, project and dimensions are chosen, with the reason.

AgentStep 4

Score

The decision is scored and routed: approve, flag or stop.

AgentStep 5

Draft

Once you instruct it in writing, a draft entry is prepared behind your approval gates.

Your teamBelow the threshold

A person decides

Stopped invoices come to your team with what the agent could not establish.

Your teamStep 6

Approve and post

Your team approves and posts. Nothing reaches the ledger without them.

The score, and what happens at each level

Five factors make up the score. The starting threshold is 85. You can change it by email, and the change is recorded.

85+Approved. The agent decides and records why.
70 to 84Approved with a flag. A person is told what looked different.
Below 70Stopped. The agent does not guess. A person decides.
The mandate

One page that says what the agent may do

It is yours to set and it is versioned. When an auditor asks who allowed a decision, the answer is a signed page with a date on it, not a setting somebody changed.

Autonomy is earned, not assumed

First

Shadow

The agent decides alongside your team and writes nothing.

The 60-Day Proof runs here
Then

Draft

On your written instruction, the agent prepares draft entries. Your team still approves every one.

Then

Threshold

Above a score you set, decisions go through. Everything else comes to a person.

What it reads

  • Supplier invoices arriving at your AP mailbox
  • Your chart of accounts, suppliers and dimensions
  • Posting history, to learn how your firm codes

What it never does

  • Write to your ledger during the Proof
  • Decide when it is below your threshold
  • Act outside the mandate you signed

See it decide on your own invoices before you pay
